JOB TITLE: Office Support - Administrative

LOCATION: Luray, Virginia (MUST be current HUBZone resident)

CLEARANCE: Must be clear-able to review and process US government CUI and ITAR.

STATUS: Part-Time - Up to 24 hrs weekly

JOB RESPONSIBILITIES:
Office Operations:


  • Answer main phone and take messages.
  • Maintaining visitor logs - ensuring visitors complete each required field, escorting visitors, etc.
  • Checking mail daily - ensuring mailbox stays clean and dry. Route mail.
  • Identify items to order, re-orders, create carts while remaining cost effective then submit for approval.
  • Contact Customer Service regarding missed appointments, upcoming appointments, appointment changes, etc., access portal for upcoming appointment information.
  • Set up shipments as needed, ensuring cost effective shipping when available, coordinating shipments with internal employees regarding equipment return or any items they need shipped, deliver all shipments to appropriate drop-off location, supply account information for shipping to trade shows and events, etc.
  • Maintain board with all state labor law posters, pertinent hotline numbers, employee rights information, and any other documents asked to display.
  • Complete E-Verify credential verification and registration for new employees.
  • Manage storage device inventory.
  • Assist with on/off board of employees.
  • Receive shipments, catalog/mark items, and log into inventory.

Facility Operations:

  • Coordinate with facility owner regarding office status, snow removal, maintenance requests, escort him during his office visits, etc.
  • Serve as backup during any prolonged absence of cleaning personnel - Ensuring office remains to standard, vacuuming, replacing trash, taking trash over for pickup, cleaning bathroom, restocking, etc. when applicable.
  • Maintain AirDoctors - Ensure filters are replaced when needed, ensure backup filters are available and set up re-order as necessary.
  • Order, place, and dispose of animal/insect traps (mice, ants, wasps, etc.)
  • POC for facility remotely monitored alarm and access security system. Monitoring facility camera system and playback.
  • Maintain security access dashboard. Assign security fobs to new hires and ensure functionality, maintain people and access.
  • Manage office physical inventory.
Ensure upkeep and make recommendations for improvements in office.
